In short
VRTcalc.ie is operated by Avlas Digital, a sole trader in Ireland (registered business name No. 793798, Companies Registration Office), who is the data controller for this site. We collect the minimum needed to run a calculator and sell a document. We do not sell your data, we do not pass your details to car dealers or anyone else who wants to sell you something, and Google Analytics and Google Ads cookies are set only if you agree in the cookie banner.
What we collect
The calculator works without an account. What you type in - a registration or chassis number, mileage, emissions figures, and optionally a purchase price - is sent to our server to produce the estimate. We keep short-lived technical logs, including your IP address, to enforce fair-use limits and prevent abuse.
If you buy a report or ask us to email you a valuation, we store your email address, the vehicle details you submitted and the finished report, so that your report link keeps working and so we can support you. If you tick the box for occasional import tips and rate-change alerts, we store that consent and you can withdraw it at any time by replying to any of our emails or writing to hello@vrtcalc.ie.
Your account
Buying a document or credits does not require an account, but your purchases are held against your email address, and an account is how you get back to them. You can create one with an email address and a password, or sign in with Google.
Passwords are handled by our authentication provider and stored only as a cryptographic hash; we never see or store the password itself. If you sign in with Google, Google shares your name and email address with us. We use them for one thing: to create your account and match it to your purchases. We do not use Google account data for advertising, we do not share it with anyone else, and we request no access to your Google contacts, files or anything beyond name and email.
Signing in stores a session token in your browser. Signing out, or clearing your browser data, removes it. While you are signed in, we also keep your recent calculations - the vehicle you checked and the estimate - in your account, so you can come back to them on the My documents page. We keep up to 50 of them; a fresh check of the same car replaces the older entry. To delete your account and its data, email hello@vrtcalc.ie - purchase records we must keep for tax law are kept, the rest is deleted.
Payments
Payments are processed by Stripe. Your card details go directly to Stripe and never reach our servers. We receive the payment status, the amount and the email address you used, which we keep as a record of purchase.
Documents you upload for an OMSP pack or a VRT appeal
For those two products you can upload photos and papers: the VRT receipt, Revenue’s letter, the logbook, the purchase invoice, photos of the car and the odometer. Some of them carry your name, address and PPSN. We use them for one purpose: to prepare your pack or appeal. They are stored in a private area of our database provider and shown to the person preparing your case. That person also receives a copy through the messaging channel we use for orders, together with the answers you gave.
We keep the files while the case is open and for 90 days after the pack is sent (or the order is refunded), because the refund rule depends on what Revenue decides in that time. After that they are deleted automatically from our storage; a copy of the messaging channel is cleared on the same schedule. If you start an order and do not pay, the files are deleted after 7 days. The letters we prepare leave your name, PPSN and VIN blank for you to fill in by hand, so none of those appear in the PDF files we send. To have the files removed earlier, email hello@vrtcalc.ie.
Service providers
To run the site and produce reports we use hosting, database, email delivery and vehicle data providers acting on our instructions. Vehicle lookups are made by our server, not from your browser, so your IP address is not passed to those providers. Some of the vehicle data providers, including the Japanese auction archive, are outside the EU; they receive vehicle identifiers only - a registration or chassis number - and never your name, email address or IP address. Where an auction sheet is handwritten, an automated image-reading service reads it for us; those images contain vehicle data only. We do not sell your data and we do not share it for anyone else’s advertising.
Payment (Stripe), sign-in with Google, the Google Ads tag and our bot protection (Cloudflare) involve companies based in the United States. Each of them is covered by the EU-US Data Privacy Framework or by the European Commission’s standard contractual clauses, and each receives only what its job needs.
Why we are allowed to
The GDPR asks us to name a legal basis for each use. Producing and delivering what you bought, and running your account: performance of a contract. Fair-use limits, abuse prevention, anonymous usage statistics and measuring whether our ads work: our legitimate interest in keeping the service running and paid for, done in the least intrusive way we know. Keeping purchase records: a legal obligation under tax law. Import tips and rate alerts: your consent, which you can withdraw at any time.
If you run a motor business
We occasionally email garages and importers at their published business addresses to tell them about the calculator and offer free credits. Reply “stop” to any of them and that is the end of it. We keep the business name and address we wrote to, and the fact that you opted out, so we do not write again.
Analytics, cookies and storage
We use a privacy-first, cookie-free analytics service that counts page views without following you across websites and without personal identifiers. To keep bots away from the calculator we use Cloudflare Turnstile, a CAPTCHA alternative that checks your browser without tracking you across sites.
The Google tag (Google Analytics and Google Ads) asks first. If you click OK in the cookie banner, it sets Google Analytics cookies to count which pages get used and Google Ads cookies to measure whether our ads lead to sales. We never allow ad personalisation. Until you choose, or if you click No thanks, the tag runs with consent denied: it stores no cookies and no identifiers on your device. . Like any web request, the tag’s call to Google carries your IP address and browser type; Google uses it to count, in aggregate, that an ad click led to a visit or a purchase, and to model conversions from those counts. If you arrived from an ad, the click identifier may travel in the page address while you move around the site, and we keep it in your browser for that tab only, so a purchase can be matched to the ad; it is discarded after the purchase or when you close the tab. If you create a report or buy, we also keep that click identifier on our side with the report (for up to 90 days) and with the order, only to tell Google Ads that the click led to a sale.
Two things do get stored in your browser, both because you asked for them: your sign-in session, kept in local storage until you sign out, and a dealer invite code, if you opened an invite link, kept for 60 days so it still applies when you register later. Neither is used to track you and neither is shared.
How long we keep it
Technical logs and rate-limit records, which include your IP address: up to 30 days. Our usage journal, which records that a calculation or purchase happened but holds no IP address, email or registration number (each visitor is a code that changes daily): 180 days. Purchased reports and purchase records: kept while your report link is expected to work and as long as tax and accounting law requires. Marketing consent: until you withdraw it.
Your rights
Under the GDPR you can ask for a copy of your data, ask us to correct or delete it, or object to how we use it. Email hello@vrtcalc.ie and we will respond within one month. You also have the right to complain to the Irish Data Protection Commission (dataprotection.ie).
